Editorial and production prepress
services for publishers

HWA Text and Data Management offer a one-stop shop editorial and production service for publishers. We take books and journals from authors' files through the complete production cycle to print-ready PDFs, XML/HTML or eBooks. We guarantee cost-efficient, prompt production, and our meticulous UK-based editors and proofreaders work to the highest professional standard.

Books

Project management

From authors’ files to copy editing, typesetting and proofing, we project manage production of press-ready PDFs and XML/HTML or eBooks, as you require.

Editorial

Our highly respected, UK-based copy editors and proofreaders are all accredited by the Society for Editors and Proofreaders. We also have US-based colleagues for books with specifically North American content. Our team has a wide range of specialist subjects. You can be confident that your book will be in the hands of those who know and understand its conventions.

Yours book will be indexed by a professional indexer who is a member of the UK Society of Indexers, if required.

All our authors are supported throughout the production process. We keep them informed of their book’s progress, and, in the case of new authors, explain that process and their role in it. We know that in fast-moving subject areas, flexibility and quick reactions are vital, and we adopt changes quickly and without fuss.

Typesetting

We have decades of experience in typesetting complex and/or highly illustrated work. Working from publishers’ own design, we follow typographical specifications carefully and accurately. Nothing is too much trouble.

We can:

  • adapt existing designs to suit a new title
  • reproduce an original design
  • set text in foreign scripts, including Cyrillic and polytonic Greek
  • work with books that include far Eastern languages such as Chinese or Japanese
  • include mathematical and statistical information and include LaTeX and TeX files

Journals

HWA offers a complete journals production service, from initial submission of papers, through peer review to copy editing, typesetting, proofing. We can oversee printing and distribution, and produce electronic versions of the journal, if required.

We meet every deadline. We are proud that every issue of every journal we have worked on has met its scheduled publication date.

Peer review

As soon as papers are submitted, they are promptly put into the peer review system, using web-based systems, such as Editorial Manager, guaranteeing an accurate, efficient and timely process.

We know how important it is support academic editorial boards with up-to-date and relevant information, and to keep careful control of the review process.

Editorial

Once papers are accepted, editorial production begins. Our team of UK-based editors and readers ensures that a journal’s style is adhered to, and that citations and bibliographical references are complete and correctly formatted.

Authors are kept abreast of progress, a particular reassurance for those having their first paper published.

When the issue is ready for press, we can oversee its manufacture and distribution, if required.

Electronic versions

We supply XML or HTML versions of the journal content for online and online-first publication. We also handle DOI (Digital Object Identifier) submissions to the scholarly publications network CrossRef.

Transforming content

When HWA was founded, there was print, and only print. But we have since witnessed and adapted with speed and skill to the web, CD-ROM and the eBook. Always on top of the latest innovation and technology, we have been at the forefront of transforming content from print to electronic forms.

XML

We are experts at converting print into XML. Two of our distinguished and satisfied clients are: For Taylor & Francis, academic publishers founded 1852, we project manage academic monographs and supply print-ready PDFs and XML of identical content.

For Cambridge University Press’s Cambridge Collections Online we took legacy PDFs, extracted the index, converted it into XML so that it would be picked up by search mechanisms and automatically provide DOI XML submissions to CrossRef.

HTML

We will convert content into HTML – or from HTML into print.

eBooks

We can convert print products into the major eBook formats EPUB, KF8, Mobi, IBA and ePDF.

Database systems

Publishers of directories have been using our database systems from our earliest days. These systems can gather information from external data or editorial input.

We will:

  • generate questionnaires either as emailed electronic forms or as conventional paper copies
  • automatically add results to the existing database
  • flag changes from the previous entry and highlight them for editorial approval
  • create tagged files that can be imported into a typesetting system, generating paginated proofs and, subsequently, indexes automatically

Clients who entrust us with intricate assignments include:

  • Macmillan, for whose The Writers Handbook we built a database system - one of our first such projects
  • Used Car Expert, for which we built an integrated data capture, editing and magazine production system
  • The Royal & Ancient Golf Club, whose Golfer’s Handbook uses an editorial system that we devised and built
  • We built custom-made databases to run production administration systems for Piatkus Books, Continuum International and Martin Dunitz.

Case studies

Advertising Works

Complex material turned round at speed

Advertising Works is the published record of The Institute of Practitioners in Advertising Effectiveness Awards. It presents challenges on many levels that have proved our capacity for quick and accurate work:

  • the book has to be speedily produced between the announcement of the awards’ shortlist and the presentation ceremony to a standard that will satisfy the scrutiny of an industry where presentation is paramount;
  • its content features the electronic presentations by candidates for the award, which include files of highly diverse material, among them Word documents, PowerPoint slides, spreadsheets and screengrabs from the web;
  • the book, which in its latest edition ran to over 650 pages, is highly illustrated, with very many graphs and charts which all have to be rendered into house style.

Linguistics in action

Creating a textbook with advanced subject matter

For Taylor & Francis we designed and produced Linguistics in Action, an undergraduate textbook that featured IPA phonetics and complex conversation analysis. The result was a visually attractive and approachable introduction to a demanding and specialised subject.

The Hazlitt Review

Entrust your academic journal to us

Our expert editorial team is fully trained in meeting the rigorous scholastic standards demanded in publishing an academic journal. For example, we worked with the Hazlitt Society to launch The Hazlitt Review, designing the journal and the society’s branding, and managing the publication’s production.

Used Car Expert

Speed and reliability: our magazine promise

We are experts in data manipulation. For Used Car Expert we analysed 250,000 prices of individual used cars and married them to technical specifications and images to produce 300 pages of accurate car price tables. The production cycle of Used Car Expert, from receipt of data to final pages, was under a week for each issue.

Golfer’s Handbook

From questionnaire to directory

The Royal and Ancient Golf Club’s Golfers Handbook golf club directory section is compiled using a database system built by HWA. The annual production cycle starts with questionnaires sent by email as Word documents, with each golf club’s existing information. Modifications in the returned questionnaires enable editorial staff to quickly identify and approve changes. When compilation is complete we generate fully tagged files to update the directory.
